Reformulation and Clarification

How to explicitly explain your choice of term, establish its local meaning and boundaries, and prevent misreading in academic and professional writing.

Metalinguistic clarification

When the author talks not only about the subject but also about the words

Metalinguistic clarification is a brief authorial comment about how a word or expression should be understood in this text. The author briefly steps away from the subject and explains their own word usage: which meaning they choose, what the term includes, or what it does not include here.

This kind of clarification is especially useful for polysemous, technical, or contested terms. It does not declare one universally correct meaning for all contexts; instead, it establishes a local agreement with the reader.

Not every common noun needs a definition. This framework is justified when, without it, the reader might choose another relevant meaning or fail to understand the boundaries of the analysis.

In this report, “resilience” refers to the ability of a service to recover within twenty-four hours.

In this report, “resilience” means the ability of a service to recover within twenty-four hours.

In this report limits the definition to this document, while refers to establishes the chosen meaning.

The survey was completed online.

The survey was completed online.

This is an ordinary statement about an event, not a comment on the meaning of a word; a metalinguistic framework is not needed here.

Three basic frameworks

By “X”, I/we mean Y puts the term X in focus and then gives its working meaning, Y. I is appropriate for a personal authorial position; we is appropriate for a shared document, a team, or an authorial voice adopted throughout the text.

Here, “X” refers to Y and In this study, “X” is used to refer to Y emphasize the local context more strongly. After a single word or term used as the grammatical subject, use refers; in the passive framework, the form is used to refer is required.

Quotation marks help show that the subject is a linguistic expression itself, but the specific quotation-mark style depends on editorial rules. The teaching goal here is the function of the framework, not one punctuation style.

In the pattern, X is a word or term, and Y is its working meaning. By X, we mean Y means “we use X to mean Y”; refers to means “concerns / means”; is used to refer to means “is used to designate”. The slash / separates three distinct patterns.

How to build it

By “X”, I/we mean Y. / Here, “X” refers to Y. / In this study, “X” is used to refer to Y.

By “rapid response”, we mean an initial decision within one working day.

Here, “local” refers to organisations based within the county.

Here, “local” refers to organisations based within the county.

Here warns that the boundary of local may be different in another text.

In this study, “retention” is used to refer to remaining enrolled until the final assessment.

In this study, “retention” is used to refer to remaining enrolled until the final assessment.

The passive framework focuses on the use established in the study, not on the author.

Meaning needs boundaries

A strong clarification not only names the core meaning but also establishes a boundary when necessary: only, solely, includes, excludes, rather than, not simply. The boundary should serve the actual purpose of the text rather than be added mechanically.

An operational definition can establish a measurable threshold, such as within one working day or participants aged 18–25. Such a threshold is a decision made for a particular study or policy, not a dictionary truth.

The reader should distinguish inclusion from exclusion. If only one boundary matters, one short sentence is enough; if there are several boundaries, it is better to put them in the next sentence.

The term “recent” is used here solely for studies published since 2022.

Solely and the date make the boundary visible and verifiable.

By “access”, we mean reliable internet and suitable devices, but not technical support.

By “access”, we mean reliable internet and suitable devices, but not technical support.

The framework names both the included components and the important exclusion.

Clarification inside a sentence

When the definition is short, it can be inserted into a sentence: X — in the sense of Y — … . The paired dashes show the boundaries of the insertion, while in the sense of signals which meaning is active.

The insertion must not disrupt the grammatical structure. If both dashes and the clarification are removed, the main sentence must remain grammatical. For a long or complex definition, a separate sentence is easier to read.

In the sense of requires a noun phrase or another complete description of the meaning. Do not confuse this expression with for example: the first narrows the meaning of a term, while the second merely gives a member of a category.

How to build it

Risk — in the sense of a measurable probability — can be compared across scenarios.

Risk — in the sense of a measurable probability — can be compared across scenarios.

The insertion rules out the broader everyday meaning of risk; without it, the core Risk can be compared remains grammatical.

The programme supports access, for example through device loans.

The programme supports access, for example through device loans.

For example gives one way of supporting access, but it does not define the full meaning of access.

Contested terms and sources of definitions

If a field contains several definitions, an honest author first acknowledges the variation and then states which meaning they use. Phrases such as definitions vary, there is no single agreed definition, or for the purposes of this analysis do not weaken the text; they accurately indicate the status of the claim.

When a definition belongs to another author or standard, it should be attributed to the source: Smith uses the term X to refer to … . A local agreement established by the current author and the transmission of someone else’s definition are different actions.

The bare sentence X means Y is grammatical and appropriate for an established or deliberately general definition. It becomes methodologically imprecise only when the author has actually chosen one of several contested meanings but presents it as universal.

Definitions of “community” vary; for the purposes of this analysis, the term refers to residents who share a local service.

Definitions of “community” vary; for the purposes of this analysis, the term refers to residents who share a local service.

The first clause acknowledges the variety of approaches, while the second establishes the local meaning.

Lee uses “participation” to refer to any contribution made during the workshop.

Lee uses “participation” to refer to any contribution made during the workshop.

Uses … to refer attributes the usage to a specific author, not to the author of the current text.

The term “triangle” means a plane figure with three straight sides and three angles.

The term “triangle” means a plane figure with three straight sides and three angles.

A direct definition is not a grammatical error; a local framework is needed not automatically, but when there is genuine ambiguity or a limitation of scope.

Do not confuse this with paraphrasing and giving an example

Metalinguistic clarification explains a word or expression. Reformulation with in other words restates a previous idea, while giving an example with for example shows a specific case. These actions may coexist in one paragraph, but they do not replace one another.

The test is simple: ask what exactly is being clarified. If the answer is the meaning of a term in this text, it is a metalinguistic action. If an entire statement is being clarified, it is a reformulation. If a member of a category is added, it is an example.

In conversation, I mean can correct a slip of the tongue or make the previous utterance clearer. In this rule, the main focus is planned definitions and boundaries of terms in academic and professional communication, not a filler used to fill a pause.

Here, “fieldwork” refers to data collection outside the laboratory.

Here, “fieldwork” refers to data collection outside the laboratory.

The object being clarified is the term fieldwork itself.

The device failed twice; in other words, there were two failures.

The second part reformulates the entire message and preserves the quantity. This is not a definition of the word device or failure.

Several offline activities were offered, for example printed exercises and phone consultations.

Several offline activities were offered, for example printed exercises and phone consultations.

Printed exercises and phone consultations are examples, not boundaries of the meaning of the word activity.

Applying this to your own text

Before introducing a key term, imagine two plausible interpretations a reader might make. If both could affect the conclusion, state the chosen meaning and the important boundary when you first use the term.

After defining a term, use it consistently. If its meaning changes between sections, announce the change; do not make the reader switch meanings unnoticed.

In a working document, the framework can be short and direct; in an article, it can be more precise and, when necessary, acknowledge alternative definitions. Quality depends not on the formality of the phrase but on whether it genuinely removes relevant ambiguity.

For this launch, “ready” means tested, documented, and approved by the security team; it does not mean that every optional feature is complete.

The professional clarification establishes a practical criterion and directly removes an expected misreading.

Throughout this chapter, “care” includes paid and unpaid support.

Reformulating for clarity

One idea, different words

Reformulation does not add new evidence or change the conclusion. It recodes the main statement so that it is easier for the audience to understand. Therefore, negation, degree of certainty, quantity, time limits, and other essential details must remain after the marker.

The most reliable test is to ask the same question of both formulations: could they be true and false in the same circumstances? If the second sentence merely gives a case, a reason, or a result, that is a different relationship.

How to build it

statement → reformulation marker → the same main idea in a more accessible form

The intervention had a negligible effect. In other words, it barely changed the outcome.

The intervention had a negligible effect. In other words, it barely changed the outcome.

The second part replaces the formal negligible effect with the more familiar barely changed, without adding a separate reason or example.

The process is asynchronous. Put differently, participants do not need to be online at the same time.

The process is asynchronous. Put differently, participants do not need to be online at the same time.

The technical term is expanded into a practically understandable condition for participants.

Markers of equivalent explanation

In other words and put differently explicitly signal that a different formulation of the previous idea follows. That is often introduces a more precise explanation or an explicit expansion of what already follows from the first part. All three markers can begin a new sentence.

The marker itself does not guarantee equivalence. The writer is still responsible for ensuring that the second part does not strengthen may to must, replace some with all, or turn a description into a causal conclusion.

How to build it

statement. In other words / Put differently / That is, the same idea in different words.

The decision is reversible; that is, it can be undone later.

The decision is reversible; that is, it can be undone later.

That is replaces reversible with the synonymous can be undone and preserves the modality of can.

Access is restricted to verified users. Put differently, unverified users cannot enter.

Access is restricted to verified users. Put differently, unverified users cannot enter.

The second part shows the same boundary through the opposite group and preserves the absolute restriction.

Or rather: correcting what has just been said

Or rather differs from the neutral in other words: the speaker withdraws or clarifies the previous choice of words. The first version turns out to be too broad, inaccurate, or simply wrong; the second replaces it.

Because of this function, the two parts do not have to be fully equivalent. It is important for the reader to see clearly which element has been corrected, while the rest of the message remains unchanged unless necessary.

How to build it

initial formulation — or rather, corrected formulation

The deadline is Friday—or rather, 5 p.m. on Friday.

The deadline is Friday—or rather, 5 p.m. on Friday.

The second version narrows the imprecise reference to a day to a specific time.

We interviewed the managers, or rather the two regional managers.

We interviewed the managers, or rather the two regional managers.

Before a short noun phrase after or rather, a separate comma is not obligatory; this is not a parenthetical full clause.

Preserving limits and degree of certainty

At C1 level, the main risk is not choosing the marker but making an unnoticed change in logical force. May, might, and probably cannot be paraphrased as definitely; only must not be lost; not all does not equal none.

It is useful to underline the words that set the limits of the statement before paraphrasing the rest. If there is no exactly equivalent alternative, it is better to preserve the original modal verb or quantity expression.

How to build it

may → there is a possibility; only X → X and nothing else; not all → not everyone, with at least one exception

The estimate may be inaccurate. In other words, there is a possibility that the figure is wrong.

The estimate may be inaccurate. In other words, there is a possibility that the figure is wrong.

Possibility preserves the caution of may; the categorical the figure is wrong would be a stronger statement.

Not all requests were rejected. Put differently, at least one request was not rejected.

Not all requests were rejected. Put differently, at least one request was not rejected.

The paraphrase correctly transfers the scope of negation and does not replace not all with none.

Position and punctuation

At the beginning of a new sentence, In other words, Put differently, and That is are usually followed by a comma. Inside a clause, a parenthetical marker is set off on both sides: The process is, in other words, reversible.

In standard formal writing, two independent parts are not joined only by commas around the marker. A full stop, semicolon, or appropriate dash is needed before the marker. Commas on both sides of the marker are suitable for an insertion within one part.

Or rather has more flexible punctuation: a comma often follows rather before a full corrective clause, but it may be absent before a short noun phrase. Choose punctuation according to the structure of the particular sentence.

How to build it

A. In other words, B. / A; in other words, B. — A and B are independent parts; within one part: The process is, in other words, reversible.

The two measures are equivalent; in other words, they produce the same result.

The two measures are equivalent; in other words, they produce the same result.

The semicolon separates two independent clauses, while the comma closes the opening marker in the second.

The process is, in other words, reversible.

The process is, in other words, reversible.

Here the marker is genuinely parenthetical within one clause, so it has commas on both sides.

Not an example, not a result, and not a new definition

For example and for instance illustrate a general idea with an individual case; therefore and as a result draw a conclusion; by contrast creates a contrast. These relationships are useful, but they are not equivalent reformulation.

Namely usually names specific elements, while explaining the word itself may be a definition of a term. Here we focus on reformulating an idea that has already been expressed and on explicit self-correction.

The service is intermittent. In other words, it is available only from time to time.

The service is intermittent. In other words, it is available only from time to time.

The second part explains the meaning of intermittent without giving one particular instance of a failure.

The service is intermittent. For example, it was unavailable yesterday morning.

The service is intermittent. For example, it was unavailable yesterday morning.

This is an example, not an equivalent paraphrase: one failure yesterday does not exhaust the meaning of intermittent.

Transferring this into professional and academic speech

A strong reformulation takes the audience into account. For a specialist, you can retain a concise term; for a wider audience, you can expand it into an action, condition, or consequence already contained in the term’s meaning.

In a longer text, do not mechanically paraphrase every sentence. A marker is appropriate where the first version may genuinely be abstract, ambiguous, or too broad. In dialogue, reformulation can also check understanding: So, in other words, you’re saying …?

Attendance is optional. Put differently, participants can choose whether to attend.

Attendance is optional. Put differently, participants can choose whether to attend.

Optional is explained through the possibility of choice. The second sentence preserves the meaning and does not turn a possibility into an obligation.

So, in other words, you’re saying that approval must come before publication—is that right?

So, in other words, you’re saying that approval must come before publication—is that right?

The speaker restates what they heard and asks for confirmation without attributing a new reason to the other person.

Common mistakes

Incorrect:The two measures are equivalent, in other words, they produce the same result.

Correct:The two measures are equivalent; in other words, they produce the same result.

Two independent clauses cannot be joined only by commas around a parenthetical marker; a semicolon or full stop is needed here.

Incorrect:The process is reversible. Put differently, able to return to its earlier state.

Correct:The process is reversible. Put differently, it can return to its earlier state.

A complete sentence part is intended after the marker, so the subject it and the finite form can return are needed.

Incorrect:The system is adaptive. In other words, it respond to new data.

Correct:The system is adaptive. In other words, it responds to new data.

In the third-person singular Present Simple, the verb has the form responds; the marker does not change subject–verb agreement.

Incorrect:The deadline is flexible—or rather, it can extending by two days.

Correct:The deadline is flexible—or rather, it can be extended by two days.

A base form is required after the modal can. For the passive, use be + past participle: can be extended.

Using examples to clarify a point

From a general idea to a particular case

Exemplification moves from a class, trend or abstract claim to one or more concrete cases. Readers should see an instance of the phenomenon under discussion, not merely an extra detail.

An example can clarify a difficult concept or provide one piece of supporting evidence. One case does not prove a universal rule. Strong writing does not exaggerate its weight and explains its limits when necessary.

A basic progression is general statement → example marker → specific case → explanation of the link to the main point. The final step is especially important when the example’s relevance is not obvious.

How to build it

general idea → example marker → concrete case → explanation of the connection

Relevance matters more than the marker

For example cannot repair weak logic. The example must belong to the stated category and demonstrate the property being claimed. A logo’s colour does not explain a service’s accessibility unless you explain how it helps users.

A good example is concrete enough to identify an action, event, observation or result. Unnecessary details can distract from its connection to the claim, so select only facts that contribute to the explanation.

After giving an example, ask what exactly it demonstrates. The answer can be a separate sentence beginning This case shows…, This illustrates…, or a direct explanation of the consequence.

The second sentence explicitly connects the action back to the general idea of accessibility.

For example, for instance and sentence position

For example and for instance can introduce a separate sentence containing an example. At the beginning of a sentence, they normally take a comma: For example, the night service now runs hourly.

These markers can also be parenthetical: The night service, for instance, now runs hourly. Commas mark the insertion’s boundaries. Position changes rhythm and focus, not its function as an example.

In neutral professional prose, the full expressions read naturally within sentences. E.g. is compact and particularly useful in brackets, tables or short lists; its comma conventions depend on the publication’s style.

Such as, including and noun-based constructions

Such as directly attaches an example or list of examples to a noun phrase: resources such as guides and checklists. Cambridge notes that as alone does not introduce examples in this pattern; use the complete such as construction.

A comma before such as is natural when the examples are supplementary information. Without a comma, the expression often narrows a class: countries such as Sweden means countries of that kind. The choice depends on structure and intention, not a mechanical prohibition.

Including can also add members of a broader group. It is useful in lists, but still consider whether the particular context might make readers interpret the list as exhaustive.

E.g. means for example and introduces one or more members of a broader group. Other members may exist, so the marker does not promise a complete list.

I.e. means that is. It restates, precisely defines or fully specifies the preceding content. If the writer names all channels, all dates or the exact meaning of a term, i.e. can be correct. It is not wrong merely because a list follows.

Using examples in paragraphs and conversation

In a coherent paragraph, the example develops the claim rather than leading away from it. Afterwards, explain its significance, return to the main idea or appropriately limit the generalisation.

For example, for instance and take X are natural in professional conversation. More formal a case in point and as exemplified by are especially useful in presentations or analytical writing, but register does not make one grammatical form universally superior.

Before the final edit, check four things: the marker’s function, the grammar following it, the case’s relevance and the strength of the conclusion. This turns a decorative list into a genuine clarification.
