Sentence complexity appropriate to register

Choose sentence structure for the reader, channel, and purpose: connect related ideas, reduce burdensome embedding, and preserve the logic. Formality is not measured by length, and a short sentence does not imply a simplistic thought.

1. Appropriate complexity is not a length contest

Register is a way of expressing yourself that suits a particular situation: who addresses whom, for what purpose, and through which channel. Two short sentences may work best for the reader of an official notice. In conversation, a sentence with several subordinate clauses may feel natural.

Ask not “How complex can I make this?”, but “What should the addressee understand on the first reading or hearing?” A long construction can precisely express a concession or condition; it can also hide the main action among qualifications. Both effects depend on the particular text, not merely a formal or informal label.

The application window is closed. It will reopen in October.

The application window is closed. It will reopen in October.

Two short, complete sentences suit an official notice: the current status and next step are immediately visible.

I think we should wait until Maya tells us whether the room is free.

I think we should wait until Maya tells us whether the room is free.

This natural everyday utterance contains embedded messages. Subordination alone does not make it bookish.

2. Identify the main idea and the connections

In The file arrived, and we checked it, two main clauses are coordinated. In Because the file arrived late, we postponed the check, the subordinate clause names the cause and the main clause gives the result. Parataxis and hypotaxis describe these ways of organising clauses, not two mutually exclusive registers.

Cause, time, condition, and concession are not interchangeable. After gives a sequence but does not itself assert a cause. Although highlights an outcome contrary to expectation. If leaves a condition open. Do not add a logical connection merely to make a sentence more complex.

How to build it

main idea + required connection: because — cause; although — concession; if — condition; after — time

Although the room is small, it has enough seats for our group.

Although the room is small, it has enough seats for our group.

The size is presented as a possible objection that does not undermine the main conclusion about seating.

After the inspection ended, the staff returned.

After the inspection ended, the staff returned.

This states the event sequence. Replacing after with because without another supporting fact would attribute a cause.

3. Length, embedding, and information density are different

A sentence can be long because of a list or an expanded noun phrase without having several levels of subordination. Conversely, a short utterance can embed one message inside another: I know she thinks it works. For practical editing, distinguish word count, clause count, and how many qualifications must be held in mind before the main thought is complete.

The corpus study by Biber, Gray, and Poonpon compares conversation and research articles: many subordinate clause types are more frequent in conversation, while expanded noun phrases characterise academic texts. These are tendencies in the registers studied, not a ban on subordination in articles. Lexical density is also different from embedding depth.

Regular reviews of laboratory safety procedures remain essential.

Regular reviews of laboratory safety procedures remain essential.

The phrase built around reviews contains several modifiers, but there is one main clause with remain and no embedded subordinate clause.

I know she thinks it works.

I know she thinks it works.

A small word count does not prevent embedded messages: know → thinks → works.

4. Formal writing: precision without unnecessary obstacles

In a report, a subordinate clause can appropriately limit a conclusion, identify a group of participants, or state a condition. However, details inserted between subject and main verb make the reader wait longer for the thought to finish. Move background information into another sentence if it obscures the decision.

A text's official status does not require heavy syntax: GOV.UK guidance, for example, recommends clear, accessible language and short sentences. Such editorial requirements belong to an audience and organisation, not universal grammar. Follow the brief rather than an imagined word-count standard for every formal genre.

The proposal, which the working group revised after the consultation, remains under review.

The proposal, which the working group revised after the consultation, remains under review.

The main framework is The proposal remains under review. The inserted detail may help specialists, but delays the status update.

The proposal remains under review. The working group revised it after the consultation.

The proposal remains under review. The working group revised it after the consultation.

The facts are the same, but the status comes first. The first version is also grammatical; the addressee's needs determine the choice.

5. Conversation: help the listener follow the thought

A listener cannot always return to the beginning of a sentence. If they lose the main idea, divide the message into meaningful steps and explicitly repeat the relevant participant. This does not mean banning because, if, what, or that: these often help make a spoken utterance clear.

A chain joined with and can be fully grammatical. In ordinary edited writing, a run-on involves improperly connected independent clauses; it is not the name for every long sentence. Short elliptical utterances are also possible in conversation, but full sentences suffice for most rewrites here; special fragment rules are not the lesson's target.

We opened the file, and we checked the figures, and we sent the summary.

We opened the file, and we checked the figures, and we sent the summary.

Repeated and may sound monotonous, but coordinating conjunctions do not automatically make this a run-on.

We sent the summary after we checked the figures.

We sent the summary after we checked the figures.

The subordinate clause concisely explains the sequence. However, this shorter version no longer mentions opening the file: it reduces the content rather than fully matching the preceding example.

6. Split and combine sentences without rewriting the facts

Before rewriting, mentally list who acts, what happened, when, how much or how many, what is negated, what is only possible, and what the result depends on. Check each item afterwards. May does not become will because the sentence is shorter; if cannot simply be discarded.

Preserve attribution separately: The supervisor said that the technician suspected a fault does not assert that the fault is proven. When unpacking a report, do not turn someone's suspicion into an established fact. If the brief permits removing minor details, call that abridgment rather than complete preservation of meaning.

We may publish the results on Friday, but only if the final check succeeds.

We may publish the results on Friday, but only if the final check succeeds.

There is a condition, uncertainty, and a specific day. All three matter.

We may publish the results on Friday. This depends on the final check succeeding.

We may publish the results on Friday. This depends on the final check succeeding.

The two sentences preserve the dependency and degree of certainty; the shorter We will publish on Friday does not.

7. Real grammatical risks when compressing

When modifiers intervene between subject and predicate, do not agree the verb with the nearest noun instead of the actual subject. In The list of changes is ready, the head is list. A relative clause likewise does not change the main subject's number.

In an ordinary initial participial construction without its own subject, the performer should correspond to the main clause's subject. Having checked the totals, the analyst… means that the analyst checked the figures. If the main subject becomes the table, the table is wrongly made the performer of the check. A full subordinate clause naming the performer avoids this attachment.

The report that the reviewers requested is ready.

The report that the reviewers requested is ready.

Is agrees with report; plural reviewers belongs to another clause.

After the analyst checked the totals, the table was revised.

After the analyst checked the totals, the table was revised.

The full subordinate clause has its own subject, the analyst. The sentence does not state who revised the table.

8. Apply the skill to your own text

First express the main message in simple words. Then decide which facts to connect within one sentence and which to present separately. Read it aloud: is it clear which noun a qualification belongs to, where the condition ends, and who is responsible for what?

In open-ended exercises, the model is only one version. Different words, natural contractions, and a different distribution of information are possible if they meet the visible brief. Checking against criteria helps edit a response but is not an automatic expert assessment of style. C2 marks this topic's place in the catalogue, not a level that can be certified by counting subordinate clauses.

The trial reduced waiting times, but we need more data before changing the schedule.

The trial reduced waiting times, but we need more data before changing the schedule.

Coordination and subordination work together: the result is retained, and the limitation on the conclusion remains explicit.

The trial reduced waiting times. Before we change the schedule, we need more data.

The trial reduced waiting times. Before we change the schedule, we need more data.

The second version provides a pause before the limitation. Choosing between them is an editorial decision, not a contrast between correct and incorrect.

Common mistakes

Incorrect:The report that the reviewers requested are ready.

Correct:The report that the reviewers requested is ready.

The main subject report is singular. Reviewers is the subject inside the relative clause, not the basis for choosing are.

Incorrect:Having checked the totals, the table was revised by the analyst.

Correct:Having checked the totals, the analyst revised the table.

The intended performer of the check is the analyst. The subjectless initial construction wrongly attaches that action to table; the correction makes the performer the main clause's subject.

Incorrect:The draft, which Jo checked it yesterday, is ready.

Correct:The draft, which Jo checked yesterday, is ready.

In this relative clause, which already occupies the object position of checked. Extra it duplicates that object in a standard edited sentence.
